A four-advisor RIA running ~22 client meetings a week. Every morning each advisor opens a single URL and finds a one-page brief per meeting on the calendar. Zoom recordings auto-tag to the right client, file themselves into Wealthbox, and index transcript quotes for retrieval. Positions, drift, cash, and RMDs come from the Orion–Schwab feed through a read-only, audit-logged pipeline with account numbers masked to last-4. Ninety minutes of cross-tool prep per advisor became three minutes on one page.
A 26-bed psychiatric inpatient facility runs a small morning tool before every 7 AM shift. An overnight integer program solves the admission assignment against the ED queue, respecting every rule the facility already enforces (1:4 acute RN ratio, 5150 holds in acute, single-sex rooms, LPS camera coverage). The charge nurse reads each proposed admission, approves it, or picks a different bed. Monthly utilization moved from a 62% baseline to a 91% six-month average. Same beds, same staff, roughly seventeen more admissions a month.
A three-studio boutique Pilates group, ~1,400 members, was running retention off a whiteboard. Members who quietly stopped booking went noticed only when someone remembered. Declined cards got chased in bursts. Birthdays and tenure anniversaries got missed or mass-blasted. We put a morning queue on top of Mindbody, Stripe, and Twilio — it surfaces who needs a touch today and why, and the GM approves, edits, or skips each one. Nothing sends without them. Front-desk follow-up time went from ~22 hrs/wk to a morning coffee's worth.
A $21M project was being tracked across four linked workbooks that only the original creator understood. New PMs couldn't touch it without breaking something. We consolidated the whole thing into one structured workbook with a live budget dashboard any PM can pick up on day one.

A 9-person boutique CPA firm tracking ~18,900 hours a year across 48 HNW clients was compiling its annual rollup by hand — an afternoon of copy-paste from 247 daily tabs, with the numbers coming out wrong often enough to need a second pass. The rebuild kept the daily-sheet habit and put a live SUMIFS rollup on top: hours by client, hours by month, billable-vs-non split, utilization against firm capacity. No new software.
A solo family-law attorney was starting every day with 40 unread emails and two hours of manual sorting before she could touch real work. We built a system that runs automatically at 9 AM, auto-sorts the inbox against her matter list and court calendar, and drafts responses tuned to three years of her own sent mail.
